Change in FSA – Flex Plan Administration

After years of selling and servicing flexible spending accounts (FSA), Southwest Benefit Administrators (SBA) is discontinuing the administration of FSAs. There are many reasons for our decision but we have arranged for the continued administration of your FSA product. This partner is the same entity from whom we lease our FSA administration software – MHM Resources. So, you are already familiar with the websites, the debit cards if you have them, and they already house all of your data within their system.

Dates to remember

  • September 8-11, 2009
    You will receive a welcome packet and a phone call from MHM.
     
  • September 24, 2009
    SBA will stop processing claims, taking contributions and making distributions

If you have debit cards...

  1. They will be cancelled & reordered on September 24, 2009 with an effective date of October 1, 2009.
  2. There will be a “black-out” period from September 25 until September 30 so that data can be migrated to the MHM.
  3. Claims for this time period should be submitted via paper and faxed.
 

If your employees have unsubstantiated debit card swipes, the balance due must be brought current right away.  Some or all of your balance may be due to your cafeteria plan.  If balances are due from terminated employees, you may want to speak to legal counsel regarding your options.  All employee elections within the FSA plan are the employer’s responsibility.
